The exact types of Personal Data we collect from you are set out below, depending on your relationship with ARLANXEO (website visitor, customer or supplier).

Personal data you provide directly
In certain sections of our website, we ask you to submit information about you when you use contact forms or e-mails, our information portals or online tools.     Once you have registered and created an account, we may offer you the opportunity to use one of our information portals or online tools, as part of an order for products or services or to call up product information. This includes, for example, ARLANXEO’s self-service information exchange portal, procurement portal and online purchase tool. Through such registration and the use of these portals or online tools, the following Personal Data is provided by you:
    - user name;
    - first and last name;
    - company;
    - division;
    - location;
    - e-mail address;
    - telephone number.

Personal data collected automatically when you visit our website
In addition to the Personal Data you provide directly to us, we automatically collect certain Personal Data during your visit to an ARLANXEO website in order to facilitate your access to such website. The following data is collected automatically:

  • IP address;
  • date and time of the request;
  • time zone difference to Greenwich Mean Time (GMT);
  • content of the request (specific page);
  • access status/HTTP status code;
  • amount of data transferred in each case;
  • website from which the request comes;

2. Customers / Suppliers
If you use our Services as a (prospective) customer, or if you have a relationship with us as (representative of) a supplier, we will collect the following Personal Data:

  • Your contact details. Your name, address and any other contact details you provide to us,  such as your telephone number and e-mail address.
  • Your use of our Services. We collect information relating to your use of Services, such as information related to purchases you make (on behalf of the company you work for).
  • Your financial details. The financial information that has been disclosed to us (either upon request or voluntarily) and can be linked to you as a customer or supplier (representative), such as bank account details or invoicing details.
  • Your communication data. Your requests, any complaints you may have and any other data that we receive if we communicate with you via email or online.
  • Recording of video footage. When you enter or buildings or premises, you are recorded by our video surveillance systems (CCTV). You can also be recorded on video footage during events or fairs that we attend and during which we make video footage. 
  • Any other personal data. This includes any personal data that you disclose to us during the course of your contractual relationship with us, either voluntarily or upon request.

How do we use your Personal Data?
Processing of Personal Data is only lawful if we do so for specific and limited purposes, and if we have a lawful basis for processing such Personal Data. We process your Personal Data for the following purposes and on the following legal bases.

  • To provide information about products or Services you have shown interest in purchasing;
  • To deliver the products or perform the Services you requested for.

Our lawful basis for processing your Personal Data for these purposes are to fulfil a contract we have with you or because you asked us to do something as a first step before entering into a contract.

Our lawful basis for processing your Personal Data for this purpose is that we are compelled to comply with a legal obligation.

  • To enable our website to remember that you have consented to the placement of cookies on your computer or device in accordance with our Cookie Policy.

Our lawful basis for processing your Personal Data for this purpose is that you have given us your consent.

How we share your Personal Data with others
To fulfil the purposes described above, we may need to share your Personal Data with others. We will only share your Personal Data on a strict need to know basis with:

  • Other companies within our ARLANXEO group of companies, such as our parent company, subsidiaries and corporate affiliates, for internal administrative purposes, management purposes, analytical purposes and other business related purposes.   • Our third party service providers who provide services for us or on our behalf, such as companies that help us with website hosting, information technology, and other support services that we have outsourced;

  • Other third parties, such as competent public and governmental authorities, in order to comply with a legal or regulatory obligation to which we or any of the companies within the ARLANXEO group is subject to.

Before doing so, we will take the necessary steps to ensure your Personal Data will be given adequate protection by such parties and that they will only process your Personal Data in accordance with our instructions.

Do we transfer your Personal Data to countries outside the EEA?
After we collect your Personal Data, it is primarily stored and further processed within the European Economic Area (“EEA”). However, we are part of a global group of companies. This means that we have affiliates within as well as outside of the EEA. The same applies to the third-party service providers and other third parties we engage with. ARLANXEO has taken appropriate technical and organizational measures to protect your Personal Data from unlawful alteration, loss, destruction or access by unauthorized persons. For instance, when we transmit Personal Data, we do so in encrypted form to prevent misuse of the data by third parties. Our security measures are continuously revised in line with technological developments.

How long will we keep your Personal Data?
We will store your Personal Data for as long as it is necessary to fulfil the purposes we collected it for, unless there is a legal, accounting or reporting requirement to retain your Personal Data for a longer period (in which case we will store the Personal Data for as long as required to fulfil such legal, accounting or reporting requirement).

What are your rights?

    You have the right to obtain confirmation as to whether or not your Personal Data is being processed by us, and, if we do, to obtain information on what we are doing with it and a copy of that Personal Data.
